Desktop Email Clients

You can access your email on the web server anywhere anytime as webmail.

Visit View Webmail for how to do this.

You can of course also access your email from your favourite desktop email client, for example MS Outlook, Apple Mail or Thunderbird.

Please see our separate more detailed instructions for creating email accounts in the most popular email clients - see menu on right.

Creating your new Email Account in your desktop email client

To manage email from your desktop you must first create email accounts in your email client for each email address.

Please use the settings below, ensuring you select the POP3 option:

POP3 Host Address: mail.yourdomain.com (Port 110).

SMTP Host Address: mail.yourdomain.com (Port 25).

Username: The email account address you are checking email for.

Password: Your email account password.

Security Settings: Select None (do not select 'use secure authentication').

Important Notice for Users of MS Outlook and Outlook Express

Tick the box labelled 'My server requires authentication'.

Note: substitute your domain name (without the www) for yourdomain.com.

IMAP Protocol

Consider managing your email using the IMAP Protocol if you intend to access email from a range of different devices, you are constantly on the move or you access email from a portable device (example: PDA or mobile phone).

Compare POP and IMAP protocols.

IMPORTANT

If you opt to create an IMAP email account instead of a POP3 email account, you will need to either:

  1. frequently delete old email held on the server, or
  2. request an Unlimited Hosting Plan.

Reason: email and especially large attachments (one image can be 4 MB + in size, some PDFs containing images can be even bigger!) that you receive will be stored on the server until you delete them. Sent email will also be stored on the server.

WARNING

Microsoft Outlook will by default create an IMAP account instead of a POP3 account, unless you override the default settings when creating the account.

You cannot, using Outlook, later change an IMAP account to a POP3 account.

In Outlook, if you inadvertantly create an IMAP account and want to change it to a POP3 account then you will need to:

  1. create a POP3 version of the IMAP email account,
  2. and then export mail from your IMAP account to the new POP3 account.

You should then delete the old IMAP version of the email account.
